What happens when you build an estimate

An estimate isn't a spreadsheet. It's a 6-tab workspace where you scope, measure, build, preview, and analyze — all before you send anything.

1
Scope

Write Scope of Work & Establish Work Packages

Start with the scope tab. Write your scope directly or import it from an uploaded RFP or SOW. AI can analyze uploaded documents and extract scope text for you to review and accept. Then set up your work packages — reusable bundles of material, labor, and equipment.

  • Rich text editor with auto-save
  • Import scope text from uploaded PDFs and documents
  • AI scope extraction — you review before accepting
  • Documents sidebar shows all files attached to this estimate
2
Takeoff

Measure from Blueprints

Upload your plans and take measurements directly on screen. Set the scale, draw your measurements, and the quantities are ready to feed into your estimate.

  • Upload plans (PDF, images) with multi-page support
  • Scale calibration for accurate measurements
  • Measurements sub-tab for organized line items
  • "Populate Builder" converts all measurements to estimate line items
3
Builder

Create your Estimate

This is where costs live. Line items organized by work area. Pull from your work packages, browse your cost database inline, or import from Excel. AI suggests matches as you type.

  • Work areas with phases for complex jobs
  • Cost Browser drawer — add from your catalog without leaving the page
  • AI auto-suggest for descriptions, quantities, and unit costs
  • Inline editing: quantity, unit cost, markup, margin, tax, supplier
  • Per-estimate pricing overrides (margins, overhead, burden rates)
4
Analytics

Check your Numbers

Before you send anything, see exactly where you stand. Effective markup, break-even buffer, cost concentration, and what happens if costs go up 5%, 10%, 15%.

  • Top cost drivers ranked by impact
  • Break-even buffer — how much margin before you lose money
  • Cost sensitivity scenarios (5% to 25% cost increases)
  • Material/labor/equipment split breakdown
5
Proposal

Preview, Edit, & Send your Proposal

Your estimate becomes a client-facing proposal without leaving the page. Pick a template, edit sections inline, configure pricing display, and email it. Total is frozen at send time.

  • 3 templates: Standard, Cover, Minimal — your branding
  • Inline section editing with floating toolbar
  • Pricing display configuration (detail vs summary)
  • Email send with engagement tracking (views, scrolls, downloads)

Work Packages — Your Reusable Building Blocks

A work package bundles materials, labor, and equipment into one assembly. A landscaper builds a 'Patio Install' package. An HVAC tech builds an 'RTU Replacement' package. Configure them once — production rates, waste factors, and all — then pull them into any estimate.

  • Bundle materials + labor + equipment per package
  • Production rates and variance factors built in
  • Usage tracking across estimates
  • Full builder form — add, remove, reorder items

Analytics — Know Before You Send

The analytics tab runs a full financial analysis on your estimate. See your effective markup, which line items drive the most cost, how concentrated your risk is, and what happens to profit if material prices increase.

  • Effective markup and break-even buffer
  • Cost concentration (top 3 items as % of total)
  • Sensitivity: profit impact at 5-25% cost increase
  • Color-coded: green (safe), yellow (watch), red (risk)

Status Workflow — Draft to Won

Estimates flow through a lifecycle: Draft → In Review → Approved → Sent to Client → Won or Lost. Each transition is logged, permissions are enforced, notifications fire. Create revisions without losing the original.

  • Full status lifecycle with audit trail
  • Revision chain tracking
  • Collaboration presence — see who else is viewing
  • Convert approved estimates to project tasks

Cost Browser — Your Catalog, Inline

The Cost Browser slides in from the right side of the estimate builder. Browse materials, labor tasks, or equipment from your catalog. Click to add to the current work area. Add multiple items without closing the drawer.

  • Browse by category, supplier, or search
  • Click to add — stays open for multiple items
  • Shows unit cost, last used date, usage count
  • Filters match your cost database taxonomy

How estimates connect to the rest of the platform

Data flows through the platform. Here's where this feature fits.

Estimate → Proposal

The Proposal tab generates a branded PDF from your line items. Total is frozen at send time. Engagement tracking shows when the client views it.

Proposal → Project

When a client approves, the estimate becomes a project. Budget is set from the estimate. Line items become cost tracking targets.

Actuals → Cost Database

Actual costs logged on the project feed back into your cost database. Next time, your estimate starts from what you actually spent.
